3. How we use it, and our lawful basis
- To provide your nutrition coaching and plans. Lawful basis: contract, or steps you ask us to take before a contract.
- To use your health information. Lawful basis: your explicit consent, which we ask for before your first consultation. You can withdraw it at any time, although we may then be unable to continue coaching you safely.

We will never use your health information for marketing or advertising.
4. Your GP, prescriber and other professionals
We do not contact your GP, prescriber, pharmacy or any other professional about you without your agreement. The only exception is a genuine emergency where we believe there is a serious risk to your health or safety, where we may share the minimum necessary information with emergency services or your GP, as the law allows.
5. Who we share it with
We never sell your personal information. We share it only with:
- Service providers who run our systems on our behalf: website hosting, secure email and calendar, video calls, online booking, payments and secure messaging. They may use your information only to provide their service to us.
- Professionals you ask us to involve, such as your GP.
- Our professional advisers, insurers, regulators and authorities, where the law requires it or to deal with legal claims.
- Google Analytics, only if you agree through the cookie settings, and never including your health information.
6. AI and automated tools
We may use secure software, including artificial intelligence tools, to help with administration and drafting, for example preparing a first draft of a meal plan. Emily reviews everything personally before it reaches you. We do not make decisions about you based solely on automated processing, and we do not put your identifiable health information into AI tools that use it to train their models.
7. International transfers
Some of our service providers store data outside the UK, for example in the European Economic Area or the United States. Where that happens we make sure it is protected by an adequacy decision, the UK International Data Transfer Agreement or Addendum, or another lawful safeguard.
8. How long we keep it
- Client health and consultation records: 8 years after your last appointment, in line with professional guidance for health records. For clients under 18, until their 25th birthday or 8 years after the last appointment, whichever is later.
- Payment and accounting records: 6 years after the end of the financial year.
- Enquiries that do not lead to coaching: 12 months.
- Marketing preferences: until you unsubscribe, then a suppression record so we do not contact you again.
- Website analytics: up to 14 months.
9. How we protect it
Your information is kept confidential and access is limited to the people who deliver your coaching. We use password-protected, encrypted systems with multi-factor authentication. No system is completely secure, but we take reasonable steps to protect your information and will tell you and the Information Commissioner’s Office (ICO) about a serious breach where the law requires.
10. Your rights
You have the right to access a free copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw your consent at any time. Email emilydixon@selectivenutritionconsulting.com. We reply within one month and may need to confirm your identity first. Some records may need to be kept for legal or insurance reasons; if so, we will explain why.
11. Cookies
Essential cookies keep the site working and remember your cookie choice. Analytics cookies, such as Google Analytics, run only if you choose to allow them. You can change your choice at any time with the green fingerprint button at the bottom of every page.
12. Children
We work with under-18s only with the involvement and consent of a parent or guardian.
13. Complaints
If you are unhappy with how we have handled your information, please contact us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
